The Administrative Assistant is responsible for performing and prioritizing a wide variety of advanced administrative tasks as well as clerical duties in support of Senior Management.



  • Schedules and tracks meetings; reserves conference rooms and vehicles
  • Acts as Travel Coordinator for senior management. This includes making all reservations for travel including scheduling air travel and car rentals, reserving hotel rooms, and submitting registrations for workshops, seminars, and conferences
  • Develops and maintains complex manual & computerized record keeping systems for Senior Management; retrieves information
  • Assists developing and evaluating clerical or administrative processes
  • From written drafts or oral instructions, prepares a variety of letters, memos, forms and reports. Composes and proofs material to assure proper layout, grammatical composition and inclusion of all pertinent information
  • Initiates completion of regularly recurring reports and standard form letters. Maintains accumulative records, making periodic audits as necessary; maintains follow-up system on reports requiring action on a periodic basis
  • Accesses computer for readily available information; may perform routine data entry to update records
  • Assists in the tracking and monitoring of assignments and special projects
  • Assist corporate administration, including but not limited to answering phones, greeting visitors, meeting support, assisting with projects and overflow work from various departments
  • Other duties may be added at the discretion of management.




  • High School degree; additional qualification as a personal assistant or secretary will be a plus
  • Associates Degree or certification from an accredited Administrative Assistant program


  • 4+ years' experience in administrative assistant role supporting upper management
  • Multi-line phone experience


  • Strong attention to detail
  • Proven aptitude for time management
  • Effective communication skills both verbal and written
  • Excellent organization skills
  • Dependable, complete assigned tasks, excellent follow-through. Ability to manage many tasks simultaneously and shift priorities quickly.
  • Intermediate to Advanced Microsoft Office skills Outlook, Word, PowerPoint, and Excel (MOS certification in one or more applications preferred)
  • Ability to prepare presentations including charts, graphics and tables, speaker's notes and handouts, etc.
  • In-depth understanding of office management and daily operations
  • Working knowledge of office equipment, like printers and fax machines
